DEFINITION: Coordinate all “new” incoming job information, develop all electronic and hard job files, conduct follow-up calls to all customers and etablish and maintain overall job tracking and provide exemplary customer service, both internally and externally. This position is also responsible for handling the phone duties associated with claims and runs weekly/monthly reports for each team. This is an AT-WILL position.
SUPERVISION RECEIVED AND EXERCISED: Receives direction from the Branch Manager/Controller; exercises direct supervision over assigned staff.
ESSENTIAL FUNCTIONS OF THE POSITION:
Oversees the claim file process from the time the estimate is completed through the closeout of the job.
Works with the team coordinators to ensure projects run smoothly and efficiently.
Updates all information into Customer Access Database.
Performs general administrative work as necessary, including preparing reports and correspondence, reviewing correspondence, copy filing of documents, entering computer data and preparing spreadsheets, etc.
Tracks Project Managers or budgets and schedules completed and filed into electronic and paper central file.
Conducts periodic audits of team job files during a job.
Audits files when they are closed-out to determine system integrity; if weaknesses are identified, provides input as to corrections necessary.
Monitors PSA and provides weekly team updates.
Monitors Xactimate, PSA, Contractor Connection, etc. for updates to project jobs.
Receives updated notes from the Project Managers and Coordinators and reviews and files into the electronic and paper central file.
Coordinates and provides professional client services in assigned area of responsibility.
Demonstrates a positive image of the Company to staff and clients; this shall include oral and written communication and visual presentation.
Receives and responds to inquiries, requests for assistance and complaints from clients; investigates complaints and recommends corrective action as necessary to resolve complaints.
Participates in staff selection; provides or coordinates staff training; works with employees to correct deficiencies; implements discipline procedures; completes employee evaluations and development plans for career success in the company.
Applies all safety rules and regulations to work efforts and prevents work hazards. Other duties as assigned.

EXPERIENCE AND TRAINING/EDUCATION GUIDELINES
Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Experience:
Two years of professional experience in assigned or related field, including one year ina supervisory or administrative capacity. Experience in construction/restoration work claims processing or work in process is preferred.
Training/Education:
High School Diploma or GED equivalent.
License and Special Requirements:
Possession of, or ability to obtain, an appropriate, valid state driver's license and satisfactory driving record.
Computer literate with knowledge and experience with the Internet, MS Outlook, Word, Excel, PowerPoint.
PHYSICAL DEMANDS
Must possess:
Mobility to work in a standard office setting and use standard office equipment.
Accurate vision to read printed materials and a computer screen.
Ability to communicate in person, before groups, and over the telephone.
Finger dexterity to operate a computer keyboard, writing implements, office equipment and calculator.

Ability to lift up to 25 Ibs. necessary to perform job functions.
